The Operations Manager will play a key part in the management team, making sure the organisation is running efficiently and working to analyse, streamline and improve organisational processes and to improve quality and productivity.

A full-time role, dealing with operational issues across all offices, the role offers a competitive salary which is dependent on experience.

Main responsibilities:

Operations

  • First point of contact for all operational matters in each of the firms offices
  • Support integration of all existing and any new offices driving consistency and operational efficiency
  • Manage the archiving document system and process including liaison with the outsource partners in India
  • Train and support the team in addressing their IT issues
  • Responsible for stationery stock and ordering requirements
  • Responsible for the Access Pass System & Timesheet authorisation
  • Assist with Marketing events
  • Monitor general filing
  • Recommend areas for improvement
  • Collate and submit monthly and quarterly reports to the Partners
  • Take the lead and project manage operational projects
  • Manage the Effectiveness Committee
  • Support in Client Journey Processes

In addition to the above, the Operations Manager will oversee the Admin and Reception function coupled with the responsibility for online document storage.

Compliance

  • Take primary responsibility for the firms compliance with GDPR, liaising with external consultants and internal stakeholders such as Partners and Heads of IT, HR, Marketing and Finance.
  • Undertake continuous monitoring of all activity within   the firm which has a data protection element to ensure continued adherence to best practice and standards.
  • Support the Partners on general regulatory compliance issues particularly those relating to the FRC and the FCA.

Skills and qualifications:

  • Excellent Customer Service skills including front of house and telephone experience
  • I.T literate - Intermediate Excel (creation and manipulation of spreadsheet, data, sorting, formula‚Äôs
  • Advanced Word (Drafting Letters, creating tables, reports)Excellent communicator
  • Excellent organisational skillsHigh attention to detail
  • Experience of creating & maintaining excellent working relationships with key stakeholders
  • Project management experience
  • Experience of working within a professional services environment
  • Working knowledge of GDPR
